Many people who come to get a job from a government institution are accused of having to go several times to get a job. What happens here is more about the client's shortcomings than the service provider's shortcomings. It often takes one day to find out what documents are needed to complete a task and another day to complete and return them. So if there are any shortcomings in the completed documents, the client will have to wait again. Many people who come to get a job from a government institution are accused of having to go several times to get a job. With the current Covid problem, the public as well as government employees have to be harassed several times in a manner that poses a health risk to everyone, and we have seen the provision of public services over the Internet in a way that has expanded in recent times. The public sector, which is accused of being really inefficient, has been able to increase its efficiency through innovation in the use of information technology.

We at the Yatawatta Divisional Secretariat made a similar effort. We wanted to make sure that clients who are looking to fulfill a need are informed about the documents required, fees charged, and permits to be obtained from other agencies, and that they stop downloading unnecessarily. In addition, the basic information about the division, the telephone directory of our officers working in the office and in the field, as well as receiving public complaints and grievances, referring to the services provided by various government agencies at the national level and obtaining the views and suggestions of the clients for the improvement of the service. The plan was to create a covering solution. At the same time, one of the objectives was to make the information required for publication in accordance with the Information Act more accessible to the public. Under the guidance and encouragement of Madam Ruwandika Hennayake, our Divisional Secretary, a chat boat program was planned to be more relevant today to do the above. Chatbot was created by Development Officer Thusitha P Gunawardhana. He studied the chatbots of huge private companies and came up with a solution that suits us. The WhatsApp network, which is used by many people today, was used as an infrastructure to take the chatbot to the client community. There were a lot of big challenges while working. The Divisional Secretary was behind this project everywhere. The biggest problem we had was providing services in all three languages. I used Google Translate to solve that problem. Google Translate is not a tool that translates correctly, so if anyone who uses this chat bot gets annoyed by any minor bugs, first apologize and apologize. But telling us about a defect that we see will help us to correct it.

Our chatbot was officially launched on January 1, 2021. S M G K Perera Perera, District Secretary, Matale, who constantly encourages and directs the officers to increase efficiency through this IT based innovation.

For those who want to identify the chat bot, send a chat on WhatsApp to his number 074 101 2996. Here the people of the division are informed to obtain services from our office. One more thing. Each Divisional Secretariat can also request another essential document to perform certain duties. Therefore, it is better to use these chat bots as a guide. This is our chat bot version 1.0. We want all your ideas and anger to polish him further. Then have a chat. Our heartfelt thanks to Thusitha, the creator of our chatbot, who is most likely to be the first chatbot to be created in a government institution in Sri Lanka, and to all those who encouraged us to dedicate ourselves to the hard work of those who had fallen and to rise and fall.
